Responsible for all secretarial works, administrative duties, personal and corporate matters
Assist the CEO in the timely management of communications; including written, telephone, email, and voicemail.
Compose and edit letters, documents, emails, proposals and ensure follow up with those that require answers, responses, and written replies.
Assist in the management and organization of the CEOs calendar by scheduling appointments, meetings, engagements, and daily activities, including running errands as per needed.
Manage and coordinate travel for both business and personal arrangements as per needed.
Spend time and become familiar with all aspects of business and residence.
Assist in screening calls, email, transmittals, and visitors.
Prepare agendas, attend meetings, and transcribe correspondence from hand written notes.
Coordinate onsite meetings, luncheons, coffees, in-house events.
Keep important festival in mind & make necessary preparation/arrangement as required.
Welcome, greet and serve the CEO’s guests at all levels
Deals with the CEO’s personal matters including and other private matters as per request
Submit & monitor monthly claims of CEO
Liaise with CEO's personal drivers if necessary
Provides a bridge for smooth communication between CEO and internal departments & clients
Maintains confidentiality and exclusivity within CEO's office
Handle confidential documents ensuring they remain secure
Attend function/event along with CEO as per required
Identify & fulfill needs of CEO from time to time
Any other assignments as and when required
Work experience as an Executive Assistant, Personal Assistant, or similar role
At least 3 year(s) of working experience in the related field is required for thisposition.
Outstanding organizational and time management skills
Excellent verbal & written communications skills
Ability to prioritize workload amid conflicting demands and busy work schedule ⮚ Able to work long hours
Able to work long hours
Able to work on Public Holiday
Discretion and confidentiality
Excellent MS Office knowledge
Required language(s): Mandarin, English, Bahasa Malaysia
Proficiency in Mandarin & English will be an added advantage
